Grants in Aid Policy

 

Purpose of the Grants:

This program is designed to assist individuals or groups with projects or events. 

 

Eligibility Criteria: 

The following areas of endeavour will be considered: 

A.  Recreation for youth

1.   Organized activities such as hockey, lacrosse, baseball, boxing, Fun Days, Halloween, etcetera. 

2.   Organized training of adults in support of youth activities. 

3.   Support for specialized training of youth in support of youth activities. 

B.  Community welfare

1.   Organized training of adults combating social problems, such as drugs, Neighbourhood Watch, Hug a Tree, Speed Watch, crime, etcetera. 

2.   Service clubs e.g. Fundraising events. 

3.   Activities which encourage a positive relationship between our youth and the Sooke RCMP (eg. Tickets to special sports or cultural events). 

4.   Activities which encourage a positive relationship between our community and the Sooke RCMP. 

5.   Special events which have Sooke RCMP member(s) participating. 

6.   Scholarship funding for one year, with a preference given to those studying Criminology. 

7.   Financial assistance to those where additional assistance is needed and is not available from other agencies.  This would be for shelter, food, utilities, clothing, travel, etcetera.  

 

Limitations:

1.   Only those applications for projects or events that will be completed within twelve months will be considered. 

2.   Preference is normally given to those activities within the province. 

3.   Grants will not be considered to an organization that in turn issues grants. 

 

Application Procedure:

1.   Official Application Form must be used (available on-line at  www.SookeCPCS.ca, or at the Sooke RCMP Detachment Office at 2076 Church Rd, Sooke, BC) 

2.   Applications must indicate nature of the project, the reason for the activity, names of those receiving the money, a full budget outline, and any other sources of funding secured. 

3.   Applications should be made at least five weeks before funding is required.  This will allow the Board two consecutive meetings, if required, for approval or rejection. 

4.   Applications to be e-mailed, delivered or mailed to the RCMP Detachment Office, marked to the attention of the Sooke CPCS Chairman.  Alternatively, the application could be faxed to (250) 642-3247. 

5.   The applicant may be asked to appear before the Board in order to clarify any points or receive special instructions.  The Board meets monthly, except in July and August. 

 

Assessment Criteria:

1.   The project as it relates to the Eligibility Criteria. 

2.   The applicant demonstrates ability to effectively carry out the project. 

3.   The meaningful impact on the greater Sooke area.   

4.   The Grant may not be awarded for the same or similar projects by successful applicants in consecutive years.  Applications will need to be submitted annually.

 

Conditions of Funding:

1.   The applicant acknowledges the support of the Sooke CPCS in all print or publicity material and public functions.  In the event furniture, trophies, etcetera are purchased, a label is to be affixed indicating the item was donated by the “Sooke Community and Police Consultative Society”. 

2.   Funds must be used solely for the purpose for which they were requested, or the amount/balance to be returned to the Sooke CPCS. 

3.   Within one month of the completion of the project, the applicant must submit a final report to the Chairman of the Sooke CPCS. 

4.   The applicant shall attach a financial statement with written receipts for all expenditures made.  The unused portion of the grant to be returned to the CPCS as outlined in the original submission. 

5.   In the event the project is not completed as outlined in the original submission, the applicant shall return the unused portion of the funds, with a full written report and financial statement as to what was completed.
