Dear Cochrane Skating Club Parents,

The Cochrane Skating Club Annual General Meeting and Awards Banquet
will be held on
Sunday, June 03 at 4:30pm
at
Beaupre Hall

All 2011-2012 parents and skaters of the Cochrane Skating Club are welcome to attend. More information regarding the pot luck awards dinner will be distributed shortly.

This past year, with the help of volunteer parents like you, we participated in the Cochrane Labor Day parade and held a hugely successful Carnival, raising approximately $4,000. In addition, we have expanded our club’s activities by participating in more test days, participated in a Skate Canada test pilot project, increased our skating membership numbers, and introduced new programs to our club. It has been a terrific year which we will celebrate along with our skater’s accomplishments at the year end banquet.

As your child’s participation in the club grows, it is hoped your participation in the club will grow, too. We would really like you to consider taking on one of the several positions that will become available for the next season. In general, the current position holder is more than willing to help anyone with the transition or, if appropriate, people can team together to tackle a particular position. The point is that the club needs continued support from the parents to guide it and help it to continue to be a successful club and to become an even better one with fresh new insights!! Our AGM will be held on Sunday, June 3 in conjunction with the Awards Banquet. At that time, we will be electing our executive board for the 2012-2013 season.

The following is a list of the current Cochrane Skating Club Executive and Support Positions, as well as a brief description of the duties from the current holder of that position. If you are interested in finding out more about a specific role, please feel free to contact the appropriate executive or support member. A copy of the Cochrane Skating Club Bylaws is available upon request.

President- is responsible for overseeing day to day management of CSC in conjunction with the rest of the board.

Vice-President- this role requires that the VP be present at the monthly meetings make sure there is a quorum and to run the meeting if the president isn't there. Beyond that, all of the executive committee members should be advocates/ambassadors for the club, internally and externally.


Treasurer- Attend and participate in monthly meetings in which you will present the monthly statement prepared by the administrator to the board. Attend registration days in September, June and December and help the registrar with registration. The treasurer has signing authority on all accounts and is responsible for occasional banking duties like making deposits and ordering cheques. Reconcile ice rental statement to ice use when required.

Secretary- this role involves attending meetings and providing members with a summary of decisions made and votes taken. Other duties may include arranging on-line votes and communication to the members, records must also be kept for 5 years.

Membership Chair- this role has responsibility to update registration forms, organize registration dates, answer any questions about registration and accept registration forms (in conjunction with the administrator). Once forms have been processed by the administrator, it is the membership chairperson’s job to register all members with Skate Canada (Competitive skaters must be registered prior to August 31st). An additional responsibility along with the administrator is to make sure coaches are given up to date lists of skaters divided according to their skating level (e.g. Learn to Skate, CanSkate, Junior, Intermediate, Senior), and ensure sessions do not exceed the recommended number of skaters. It is also the job of the Membership Chairperson and the Treasurer to distribute the Skate Canada membership cards and invoices (once received from Skate Canada and the administrator respectively).


Fundraising Chair – This position involves managing the fundraising for the club. The main fundraiser of the club is the casino (about every 21/2 years) and/or the carnival or competition (non-casino years). Organization starts about 3 months prior to the fundraiser event. In the case of events where an aglc license is required, an account audit must be done two years after the event. More fundraising ideas can be done throughout the year depending on available support and the needs of the club. In addition the Fundraising Chair is expected to attend the monthly board meetings, contribute to decisions that affect the running of the club and generally support the club in whatever endeavors it undertakes during the time the position is held.

Test Chair- Test Chair: This role involves all tasks related to Skate Canada testing and record keeping. Detail oriented, organized individuals are best suited to this position. Duties include preparing paperwork for tests both home and away. You will also collect coach drafts, organize/schedule test days at our club and contact low judges or the high test coordinator to book days and officials. The two weeks prior to any test day are the busiest. It is advisable to work with a partner to share the workload, though only one of you needs to be on the board and attend meetings. You will also look after awards for skaters passing test levels at the banquet. This role is a great way to become familiar with tests and levels meet judges and other club test chairs.

Ice Chair- Duties include checking our booked ice schedule with the online schedule, identifying any discrepancies, and notifying the President or Administrator so that they can contact Spray Lakes to correct.

Public Relations Chair- Unfilled. The Public Relations Committee person(s) is a non-voting position which acts under the direction of the Club Chair to maintain bulletin boards and the website as well prepares and submits advertising.
