KITS SAFE AFTER GRAD - a dry event



The PAC Chair and Principal announced at the October 2010 PAC meeting that, funding for the Kits PAC Safe After Grad, was looked after and that that grade 12 parents are encouraged to volunteer as representatives on the committee.

The Principal announced at the same October 2010 PAC meeting that an event planner would be used for the Kits PAC Safe After Grad.

Note: Charlie Kirkley volunteered as PAC Safe After Grad Co-ordinator 2008, 9 and 10. Charlie is no longer a Kits parent (her child graduated in 2010), and has kindly volunteered to provide her services as an event planner at no charge. Charlie, an event planner, was in 2009 forming a security company. Charlie planned to market to Kits and other Secondary schools an event service that includes liability insurance at a cost advantage and security at a cost advantage. There was a suggestion from the 2005-6 after grad (see below) that
"Due to the challenge of finding parent volunteers to lead the organizing of this event, there has been a suggestion that a professional event planner be hired (using some of  the event profits) to work with the committee of parents and grade 12 students."


At a November 2010 meeting of Grade 12 parent representatives, the event planner and the Principal, the Principal advised that Charlie is working for the school in the following areas:
- safe after grad
- grad ceremony
- christmas tree lot for athletics
- a poinsetta fundraiser for athletics
- a coffee fundraiser (not for safe after grad)
- school dances
Also, independant of the school, Charlie is working with individual students to run a Prom and an After Prom. The following note from the 2006 safe after grad event relates to prom and after prom:

There is usually a non school sponsored grad prom event in May and hopefully a                corresponding non school sponsored safe after prom event with buses (or shared taxis) to and shared taxis from (2006 after prom did not have buses (or shared taxis) to and shared taxis from)
. Kits Student Grad Council helps fundraise for and organize the parent/student dinner/dance following the grad ceremonies, with a teacher.

There has been a suggestion that the student grad prom and student safe after prom events held in May become school/PAC sponsored events, rather than have those events be for private profit. For 2008-9, the June grad ceremonies were moved to the Tuesday evening after the May long weekend (when previous Student grad prom and student safe after prom events had been held).

As the event runs through the night, among the planned activities is a quiet one for students who prefer to rest.

Kits PAC Safe After Grad funds normally would have been collected with Kits School grad fees in September 2010. An exception was made for Sep 2010 per direction from the Principal..

As part of preparations for the 2010 Kits Safe After Grad, the PAC Executive and the Principal agreed that:
- the profit from the Kits Safe After Grad 2006 go towards reducing the cost of the 2010 Kits Safe After Grad tickets, and the Principal advised there are sufficient funds available from the school grad fees to cover the remainder of the cost of the safe after grad
- that the school will explore to see if the VSB liability insurance can be extended to the Kits PAC Safe After Grad instead of the Kits PAC Safe After Grad coordinator purchasing this from an agency as is, otherwise, required. Note, it seems that, contrary to PAC requirements, PAC liability insurance was not purchased for the 2010 event and the event was held on a boat, contrary to PAC's previous liability insurance requirements, and the situation vis a vis insurance via the VSB had not been explored.

Kits PAC does not receive the Kits PAC Safe After Grad 2010 expense report as the school administers the funds with the funds for the school grad ceremony and the school grad family dinner dance.

At a November 2010 meeting of Grade 12 parent representatives, the event planner and the Principal, the Principal advised that some of the after grad profits in 2008, 2009 and 2010 were directed to a VSB scholarship fund.

- following a suggestion from students, the Kits Safe After Grad tickets be purchased, from 2008 and on, by all students as part of the September grad expenses package that also includes tickets for the Grad parent/student dinner/dance. Hence, Kits PAC Safe After Grad funds were collected with Kits School grad fees from September 2007 and on.

- that the school would administer, for PAC, the funds for  the Kits Safe After Grad with the goal of minimizing the ticket cost for the grad student.

Kits Safe After Grad 2006 was organized by volunteer grade 12 students from Kits Student Grad Council as a not for profit event with buses to the event and shared taxis home. This qualified the event, as a safe after grad, for some available funding, see below.


Safe After Grad Committee

During 2005-6 some parents approached the PAC Executive asking for our support as they began to develop, with students, a Safe After Grad for our Grade 12s.  The PAC Executive was unanimous in feeling this was important for us to concentrate our limited energies on making this event successful.  As is customary at Kits, our teens have a controlling hand in organizing their grad so PAC involvement was defined as being supportive.  We provided start-up funds, signed contracts, and generally acted as mentors.  This was a hugely successful first event that our Grads can feel justifiably proud of.  Some perceptive Grade 11s were involved and gained valuable experience and they have agreed to take leadership of this event for the coming year.  The plan for future years is to have parents of students from Grade 11 and below act on this committee.

Background:


Wayne Shaddick, the Kits Counseling department head spoke at the grade 12 parent information meeting fall 2005 and recommended parents support students by trying to sponsor an After Grad. An After Grad is for following the June  grad ceremonies, then parent/student dinner/dance. The students tend to want to stay up all night to celebrate. Kits has not had an After Grad in some years. Two parents volunteered to look into the matter. Wayne, the parents and students met in January to check progress. Wayne checked with other local secondary school administrations for information. One of the Kits parents spoke with a parent at Point Grey who is familiar with the After Grads at Point Grey that their PAC has been sponsoring regularly.

Following are the notes from that  discussion:

-    location kept secret to help insure kits only, midnight to 5am
-    sell tickets in advance, also night of dinner/dance at dinner/dance, a lot decide to join  then
-    grade 11 parents so no grad student’s parents there
-    grade 12 parents may help organize sponsoring
-    trolley bus to place (note subsequent to the Kits after grad 06, kits recommends shared taxis to place)
-    taxi from place, each student gets $10 taxi coupon, try to do 2 or 3 to cabs
-    no re-entry at event
-    if student does not arrive, is directed to leave by security, or wants to leave, before 5am , gr 11 parent phones gr 12 parent
     (at Kits After Grad 06 gr 11 parents phoned and tried to leave messages for grade 12 parents that student did not arrive or was leaving)
-    have had at a restaurant, at Keg (not doing after grads after 2006), at Gotham’s, at party room at Plaza of Nations (closing 2006)
-    Restaurants like as normally they do not have business to 5am, but not good if neighbours do not want noise
-    Plaza has L shaped room plus 2 smaller rooms (so a room for dancing, a room for games and a room for a movie)
-    Get disc jockey for dancing, movies, games (gambling, but no winning prizes), door prizes
-    130-140 students at Pt Grey’s after grad
-    About $2,000 in gaming grant money (this is an OK use) from PAC to get going (need non refundable deposits) – survey grad students, if interested, get student council, grad council to endorse (need a group of kids onside)
-    Cost dependent on how much fundraising (note at Kits so far for 2005-6 grad council not having lots of success fundraising for dinner/dance)
-    Segments of grad population do not attend this (at Kits after grad 06 seemed students from all segments of grad population attended)
-    Security at door for pat down, bags left at door (coat check provided)
-    Allowed in if drunk, so long as not a danger to themselves or others, in is safe (as security responsible for overall safety, security may deem a drunk student a security risk and require they be sent home in a taxi, see above re calling)
-    Lots of beverages, ton of water
-    $50 each, depends on how much fundraise/subsidize, includes safe transportation to and from, place, security, liability ins., DJ, casino games, movies, food, beverages (have an early bird price)
-    Snack around 2 am, either from restaurant if in one, or order in pizza
-    For 2006 they are going to set up in one of the small rooms with regular board games and decks of cards for students who prefer them to gambling games.


After approval from PAC for event seed money  (as above, about $2,000 for initial deposits),  2 parents run bank account (both must sign) due number of transactions in a tight time frame that are not practical for PAC to meet about.

Kits PAC safe after grad 06 had casino games with paid dealers.

Kits Student Grad Council volunteers have been part of the Kits safe after grad 06 organizing committee and have sold tickets.

A few students from the Kits Grade 11 council went to see the gym at  Lord Byng decorated by parents for their PAC sponsored safe after grad 06.

Mother's Against Drunk Driving (MADD) is offering funds to support dry grads. The school must agree to sponsor some sort of event to promote awareness of the dangers of drinking and driving. After students were notified of this opportunity via a grade counselor and there was no response, a parent organized this and a student volunteered to present MADD information in the lobby on the 4 evenings of the school musical in May to qualify for a MADD donation to Kits after grad 2006. Kits PAC also sent notice out on PAC e-mail of a MADD fundraiser and awareness walk in June 2006 at Jericho Beach park.

MADD donated $100 for the Kits Safe After Grad 06 event (we were told they would like to have given more but most of their money goes to victim support).



Young Drivers Of Canada, Kitsilano have donated a set of Novice driving lessons (valued at $889) to help raise funds for the Kitsilano 2006 Grade 12 safe after grad event.

Annual Safe After Grad Event

Following the approval of support for annual Kits Safe After Grads given at the February 2006 PAC meeting and the successful inaugural Safe After Grad 06 event:

- the funds (used to pay initial event deposits) advanced from the general PAC account  will be refunded from the Safe After Grad 06 event profit.

- the remainder Safe After Grad 06 event profit will remain in the PAC Safe After Grad event account to be used for 'seed costs' for the next Safe After Grad event, ie. initial deposits, covering initial cash flow issues, consideration of risk of loss on event.

- each year the Safe After Grad event operates with a profit, the profit will be reviewed with consideration to:
- is the profit in excess of annual operating 'seed costs', and if so, how is the profit best used at that point in time, ie. lowering event ticket  price or contributing to PAC funds used to support the school in other ways.


Resolution:

- the PAC Safe After Grad event account be operated by two PAC members where both are required to sign withdrawals and cheques. One of the two PAC members must be on the PAC executive.
