| | Overview | The Internet has brought unparalleled opportunities for the advancement of a key archival mission: researcher access to archival holdings. At the same time, because of the complexity of technologies involved, automating archives has become a difficult task. Many archivists faced with the need to automate ask questions such as: is this the right time to start, or should we wait until the Internet settles down and the existing and emerging standards prove themselves? How do the standards apply to archival applications and which of the standards should we adopt?
The objective of this seminar is to show that the planning and the implementation of archives automation can and should start now; that tools and standards exist which do satisfy archival requirements for an integrated system; and that, if designed properly, the automation can provide something very close to a technology-independent solution, with the benefit of protecting the investment. |
| Content | Setting the stage:
- mission and objectives of an Archives
- the technological framework
- role of automation in support of the organization's mission and objectives
- need for strategic planning
Researching archival repositories on the Internet: a typical scenario.
Standards and techniques:
- HTML and SGML/XML/Encoded Archival Description (EAD): detailed presentation: role and place in the overall automation strategy.
- importance of archival descriptive standards: General International Standard Archival Description (ISAD(G)) and International Standard Archival Authority Record (Corporate, Person, Family) (ISAAR(CPF)).
Architecture of an integrated solution:
- the archival data model and its fundamental characteristics: hierarchy and context
- satisfying Internet search requirements
- integrating archival processes: accessioning, arrangement and description, research management, conservation treatment, exhibitions
- demonstration of a standards-based, Internet-enabled archives application
Implementation options:
- setting priorities
- selecting the software solution
- managing the automation project

| About the speaker | Nicolas Maftei has a long experience as an information systems consultant, including 23 years with IBM. Founder of ArchProteus, he specializes in records management, archives, museum and library applications. He was involved in the design and the implementation of automated solutions and conversion projects for, among others, the National Archives of Canada, Archives nationales de France, several Provincial and State Archives, the NWDA (Northwest Digital Archives) Consortium, the National Moving Image Database (NAMID, American Film Institute, Los Angeles) and the Public Records Office of Hong Kong. He teaches automation at the University of British Columbia (UBC) graduate School of Library, Archival and Information Studies and is a frequent speaker at archival conferences in Canada, the Unites States and Europe.
